Import Current Year Monthly Balances
For each month in the current year until go-live the net change, i.e. difference between opening and closing balance for the month, in each account needs to be migrated into Odoo. This will ensure that the opening balances in Odoo reflect the closing balances in the client's current ERP.
NOTE: If you are going live mid month then also obtain the net change for the current month up until go-live date.
The nett change import file for each current month should contain a separate column for the information listed below. A separate line should exist for each account. The general ledger trial balance in the client's old system can be used to obtain this information.
- the account number (this must exist in Odoo),
- the accounting date (this should be the end of the the month being imported e.g. 31/07/2025),
- the journal (this should be the OPACC journal),
- the line label (e.g. "Opening Balance - July Month End")
- the debit amount ( this will have a value if the nett of the debits/credits to the account for the month resulted in a debit, otherwise this should be set to zero) ,
- the credit amount ( this will have a value if the nett of the debits/credits to the account for the month resulted in a credit, otherwise this should be set to zero)
- journal number (set to OPACC0xx) (optional, only include if you are going to import via the opening journal items import)
The total of the debits and credits listed must balance. The file format may either be a csv or Excel file.
Import/create an Opening Balance Journal for each month in the current year. This will bring in the net change for each account for the month.
This journal should be dated the end of the month of import. E.g. 31/07/2024 and be created against the OPACC journal. If the journal is for the curent month, due to a mid month go-live, the journal should be dated as the day before go-live.
The journal description and line labels should describe the purpose. E.g. Opening Balance July 2024 Balances.
Below: A sample journal created for a current year period.
Run a balance sheet report from Odoo for the day before go-live. Compare to the balance sheet in the client’s old system for the last day of trading in the client's old ERP. These must match. If there are any differences, then you will need to locate the issue in the imported journal, reset to draft, correct and validate.
Run a profit and loss report from Odoo for the day before go-live. Compare to the profit and loss report in the client’s old system for the last day of trading. These must match. If there are any differences, then you will need to locate the issue in the imported journal, reset to draft, correct and validate.
TIP: If the reports do not reconcile, run the reports at the end of each month in the current year to try to identify the month that is causing the issue.
